Closing the loop does not mean promising to build every request. It means making the decision visible, explaining the reasoning, and giving customers a useful next step.
Define clear feedback statuses
Use a small set of states such as under review, planned, in progress, shipped, and declined. Each state should have a plain-language meaning that customers can understand.
Make updates discoverable
Connect requests to roadmap entries and changelog posts. Customers should be able to follow a problem once and receive an update when the decision changes.
Explain decisions with respect
For declined ideas, share what you learned and point to an alternative where possible. A thoughtful no builds more trust than silence.
